Supplier Program & Vendor Audits

An approved supplier list that runs itself. Every vendor carries a status, an approved scope, certificates with expiry, and a risk tier computed from what they actually ship you. Risk sets how often you audit; audits run offline on an iPad; findings go to the vendor's portal and come back as corrective actions you review and close.

From approval to closed finding

One record per vendor. Every step writes to it.

  1. 1

    Approve

Add the vendor with status, scope and certificates. Chief reads the certificate PDF and fills in number and expiry; you check the holder name matches.

  2. 2

    Buy

Purchasing checks the list. Suspended blocks the order; Conditional or out-of-scope asks for a reason, recorded on the PO.

  3. 3

    Receive

Each receipt logs on-time, 8130 and the inspection outcome. Rejected shipments never enter stock and count against the vendor.

  4. 4

    Score

Delivery, quality, audit and responsiveness roll into one score and a risk tier. High risk means a shorter audit interval.

  5. 5

    Audit

Send a self-assessment first, then run your checklist on site. Answer No, type a sentence, and Chief writes the finding with the regulatory reference.

  6. 6

    Close

Findings reach the vendor's portal. They respond with evidence; Chief pre-reviews for root cause; you request changes or close. The PDF is ready for the inspector.

What this module actually does

  • Approved / Conditional / Suspended / Removed status with approved scope, checked by Purchasing before a PO is placed
  • Performance scorecard from your own data: on-time delivery, receiving inspection outcome, 8130 coverage, last audit score, responsiveness to findings
  • Risk tier (low / medium / high) sets the re-audit interval; override with a reason when you need to
  • Vendor audit checklists you own: clone a system template, edit, or import your existing checklist from a spreadsheet; versions are kept
  • Run the audit on an iPad at the vendor's site, offline, with photos as evidence; it submits itself when you are back online
  • Severity-weighted scoring against your pass mark; failing drops an Approved vendor to Conditional
  • Findings emailed to the vendor with a portal link and due date; they respond with evidence, you accept, request changes, or close
  • Vendor self-assessment questionnaires before the visit, with the vendor's answers shown beside each question
  • Certificate expiry reminders to the vendor at 60 days; expired certificates move the vendor to Conditional
  • Audit calendar across every vendor: due, overdue, completed, in progress
  • Chief (optional): drafts the finding from a note or photo, reviews the vendor's corrective action for root cause, reads certificates, writes the executive summary
  • Audit report PDF with executive summary, answers by section, findings and evidence
